Procurement Specialist – Renewable Energy

PURPOSE
We are seeking a Procurement Specialist to oversee the end-to-end procurement function for our renewable energy product range. This role is responsible for sourcing, purchasing, and inventory management across both local and international suppliers. The incumbent will play a key role in ensuring stock availability, negotiating favourable terms, maintaining accurate procurement records, and fostering strong supplier relationships. This position contributes directly to the efficiency of operations, customer satisfaction, and the long-term growth of the renewable energy division.
REQUIREMENTS
- Grade 12 or equivalent.
- Code B Driver’s license.
- Bachelor’s degree in business administration, Supply Chain Management, Procurement, or a related field.
- Minimum of 3-5 years’ experience in a procurement or supply chain role, with a focus on both local and international purchasing.
- Prior exposure to renewable energy products or technical product categories is highly advantageous.
- Experience in dealing with suppliers, logistics providers, and financial departments in a commercial environment.
- Proficiency in using an ERP/ business system.
- Proficiency in Microsoft suite.
- Strong numerical and analytical skills.
- High level of accuracy and attention to detail.
KEY RESULT AREAS
- Coordinate the end-to-end procurement process for both international and local suppliers, including requesting quotations, preparing and processing Purchase Orders (POs), and managing Proforma Invoices (PIs)
- Serve as a primary liaison between suppliers, logistics providers, and internal teams to ensure timely and accurate order fulfilment.
- Process daily buy-out purchase orders for non-standard or customer-specific items.
- Arrange specialized transport where necessary (e.g., overnight or road freight), and coordinate timely pickups with suppliers.
- Ensure deposits and payments are processed with Finance, following up consistently on outstanding payments.
- Negotiate pricing, terms, and delivery conditions with suppliers while maintaining strong, professional relationships.
- Keep Procurement Manager and relevant stakeholders informed of product availability, price changes, and supplier developments (including changes in product lines or management structures).
- Maintain and update procurement records, including the FOREX sheet, GRV pricing, and expected delivery timelines on Kerridge.
- Monitor and analyse stock levels using systems such as NETSTOCK, Phocas, Kerridge, and internal out-of-stock tools to ensure optimal product availability.
- Identify and place replenishment orders for renewable energy products in line with demand forecasts and inventory thresholds.
- Support the identification and clearance of slow-moving and dead stock at the branch and distribution centre (DC) levels.
- Maintain out-of-stock levels within defined acceptable limits and proactively escalate potential stock shortages.
- Manage GRVs for both imported and locally procured stock, ensuring all commercial documentation (CI, PL, TRP invoices) is complete and compliant.
- Coordinate the creation and activation of new product codes and resolve any discrepancies by submitting RFCs to suppliers.
- Notify Stock Controllers of new stock arrivals and ensure proper binning and storage.
- Contribute to continuous process improvement initiatives across procurement and inventory management.
- Participate in bi-annual stock takes.
