Receiving Administrator

PURPOSE

The incumbent will be responsible for overseeing the accurate and timely receipt of all goods into the warehouse, ensuring compliance with company procedures and quality standards. This role involves managing documentation, inspecting deliveries for accuracy and quality, updating inventory systems, and coordinating with suppliers and internal teams to resolve discrepancies or issues. The incumbent will play a key role in maintaining efficient warehouse operations and supporting effective inventory control, thereby supporting the overall operational efficiency and profitability of the retail business.

REQUIREMENTS
  • Grade 12 or equivalent.
  • Bachelor’s degree in supply chain management, Business Administration would serve as an added advantage.
  • One (1) years’ experience in warehouse admin and inventory management, or similar role.
  • Proficiency in Microsoft suite.
  • Proficiency in inventory management.
  • General Electrical knowledge would serve as an added advantage.
  • Proficiency in using Kerridge ERP system would serve as an added advantage.
  • High level of accuracy.
KEY RESULT AREAS
  • Ensure all received goods are correctly documented, inspected for quality and quantity, and matched with purchase orders.
  • Keep digital records of all supplier documents, ensuring that all Purchase Order (PO) numbers are included.
  • Compare supplier invoices against the prices on the K8 System.
  • Adjust prices or report any discrepancies for correction.
  • Amend quantities as per the supplier’s invoice.
  • If products cannot be scanned using the Handheld Device (HHD), update the barcodes on the system.
  • Provide daily updates to Procurement and Buyers on the oversupply sheet for stock received without paperwork.
  • Notify the supplier to request an invoice for any excess or over-supplied items.
  • Address exceptions raised by receiving clerks regarding stock damage, errors, or shortages.
  • Send a Request for Credit (RFC) to Procurement when necessary, so the supplier can be informed.
  • Calculate transport upliftment and capture on the system.
  • Participate in b-annual stock takes.
